How to build a remote workforce system?

As the world descends into chaos because of coronavirus, businesses are now opting to allow their employees to work from home during this crisis. For this generation, the current global pandemic would be the only one they have ever seen, no surprise that this generation is in a state of panic. However, today’s technology has allowed businesses to adapt to the situation and enable employees to work from home. Tools such as Microsoft teams allows collaboration and sharing of documents between employees located in different places. With many systems becoming more cloud-based, documents can be accessed anywhere.

For companies to have the capabilities for its employees to work from home, they have to ensure the following foundations are in place to ensure the digital workplace is working:

  • VPN (Virtual private network): This will provide a secure communication channel through public internet connections.

  • VoIP (Voice over Internet Protocol): This will cut communication costs and increases the team’s flexibility to access their office phone from anywhere and send messages, forward calls to mobiles, teleconference with clients and co-workers.

  • Data Backup/Recovery: Data will be an important aspect when setting up an environment to cater for employees to work from home. Remote workers will need to have access to backup solutions and a secondary backup system should be in place as well.

  • Network Security: Network Security is important to a business especially for remote workers. Being hacked can cost the business in revenue and may hinder efficiency and productivity.

  • Malware Protection: As well as Network security, malware protection is important to stay on top of current malware that is trying to infect company systems.

  • Collaborative Technology Tools: To help increase employee productivity and efficiency, applications such as Sharepoint and Microsoft teams will enable the exchange of information in a secure but easy manner.

Having the above 6 areas will provide a great foundation to have an efficient and secure remote workforce system that will enable employees to access documents securely. The flexibility of having a remote workforce allows your company to operate outside of opening hours and from anywhere in the world. This will increase productivity and will increase your operating reach of your company.
